How to choose a keyless entry system

If you're considering upgrading your commercial or business security system, a keyless entry system is an option you should consider. A keyless access control system can offer a more efficient and secure solution which allows you to access a building or room without the use of a physical key. Instead, you can use a digital code, biometric data, or remote control to gain entry.  Find out how to choose a keyless entry system.

Which industries can use keyless entry systems?

These systems can be used in a wide range of industries as they offer a secure and convenient way to control access to buildings, rooms, and facilities.

Commercial: Employers and building owners need to know that their assets, equipment and employees are protected from theft, burglary and any kind of unwarranted entry. Keyless entry systems are widely used in commercial buildings, such as offices, retail stores, and warehouses. They allow businesses to control access to their premises, restrict access to certain areas, and monitor employee activity. They can also be integrated with other security systems, such as CCTV and alarm systems.

Healthcare: In healthcare facilities, consideration needs to be made for the security of patients, staff and medical equipment that could pose a threat when accessed by the wrong individuals. Keyless control systems are an effective solution for healthcare facilities such as hospitals and clinics as they enable healthcare providers to control access to sensitive areas, such as patient rooms and medication storage areas. They can also be used to monitor staff activity and prevent unauthorised access to restricted areas.

Education: Keyless entry systems are increasingly used in educational institutions, such as schools and universities. They allow administrators to control access to classrooms, labs, and other areas, and to monitor student and staff activity. They can also be used to restrict access to sensitive areas, such as student records and equipment storage areas.

Hospitality: When people think of going on holiday, they expect fun, stress-free experiences enjoyed with family and friends. Keyless entry systems are commonly used holiday apartments and properties. They allow guests to access their rooms using a PIN code, proximity card, or smartphone app, providing a convenient and secure way to enter their rooms. They can also be used to control access to other areas, such as conference rooms and fitness centres which shouldn’t be accessible to certain guests or service providers.

Industrial: Keyless entry systems are used in industrial facilities, such as manufacturing plants and warehouses. They allow managers to control access to sensitive areas, such as equipment storage areas and production lines. They can also be used to monitor employee activity and prevent theft and vandalism.

What is a keyless entry system?

If you dislike having to manage and safeguard tons of keys for an office building or even a block of flats that you manage, a keyless entry system is a solution to your problem. It’s a convenient electronic security system that allows access to a building or room without the use of a physical key. Gone are the days of having to replace lost keys and copying keys for new users, instead, a person can enter a building or room by using a digital code, biometric data, or remote control. Keyless entry systems typically use the existing lock case for enhanced security. The keyless systems are activated or deactivated by the correct digital code or signal.

The way a keyless entry system works will depend on the specific type of system you choose. Some use a keypad where a user enters a code to unlock the door, RFID, 25kHz or facial recognition technology. Other systems use Bluetooth or Wi-Fi to allow users to unlock a door using their smartphone or another digital device.

Benefits of keyless access systems

Convenience at your fingertips

With a keyless entry system, there's no need to carry around a physical key, making it easier to enter and exit a building or room.

Increased security

A keyless entry system can be more secure than a traditional lock and key since it can be programmed to allow access only to specific individuals or at specific times.

Control from anywhere

Some keyless entry systems allow remote access, which means you can grant access to someone even if you're not physically present.

Types of keyless electronic door locks

Keypad locks: This type of keyless entry system requires users to enter a code to unlock the door. The keypad can be mounted on the door or on a nearby wall, and the code can be easily changed as needed.

Biometric locks: Biometric locks use fingerprint scanning or facial recognition technology to identify users and unlock the door. This type of system can be more secure than a keypad lock, but it can be more expensive and may require regular maintenance to keep the scanners working properly.

Smartphone-enabled locks: With a smartphone-enabled lock, users can unlock the door using their smartphone or digital device. This type of system can be convenient for users, but it can also be vulnerable to hacking or other security risks.

Remote access locks: Remote access locks allow users to grant access to others even when they're not physically present. These locks can be accessed via a smartphone app or a web portal, and access can be granted or revoked as needed.

Things to consider when choosing a keyless entry system:

  • What level of security do you need? Consider the level of security you need for your home or business and choose a keyless entry system that can meet those needs.
  • What type of access do you need? Think about who will need access to the building or room and how often. This will help you determine whether you need a keypad lock, biometric lock, or remote access lock.
  • What is your budget? Keyless entry systems can range in price from a few hundred dollars to several thousand, so it's important to consider your budget before making a decision.
  • What type of power source do you prefer? Keyless entry systems can be battery-operated or hard-wired, so consider which option will work best for your needs.

The process of installing a system

There are various reasons why an organisation might need to start the process of looking for a new system. The most common ones are:

1. An important key has been lost, possibly more than once. Replacing keys are expensive and there is a lot of administration costs involved with making sure keys are copied and all necessary parties receive a new key, especially with the management of larger buildings and co-working spaces.

2. Managing keys has just become too difficult.  Whether keys are lost or misplaced and need to be returned or new keys need to be issued for new employees or service providers that need access to a building, nobody can deny that managing keys is stressful - creating security risks.

3. Reduced staff has made it difficult to manage who has access. In some cases, they might have a reduction of staff and it’s not always easy to have keys returned, so they might have to be replaced. Disgruntled employees that have been dismissed might pose a security threat to an organisation so a system that is easy to manage is necessary.

4. Property owners and building managers might want a system giving flexibility but having cables installed throughout the building might not be an option.

Creating a locking plan

Preparation is key in the eyes of the experts at SimonsVoss. Before an installation has even begun, a locking plan can be written, and the hardware programmed no matter how small or large the system is.

This includes giving relevant users the access needed for their various roles. A full access control system is ready to go BEFORE the installer even arrives on site, ensuring that the installation and set-up are quick and efficient.

Step 1: Hand out all cards or transponders to all users that need access

Step 2: Install the Simons Voss Locks

Step 3: Train the end-user on how to use the software

Programming the system

When starting with any SimonsVoss System, all products need to be fully programmed into the software which can be done away from the site in the comfort of the installers workplace.

Once all components have their initial programming, any subsequent changes that need to be made like access rights can be done in various ways.

There is always the choice to program either the user’s credential OR the lock in any of the programming methods below:

1. Offline – this is the simplest set-up and managing the software on a laptop is highly recommended. When a change is made in the software and the user’s credential is not available for programming, the laptop can easily be taken to the locks for programming instead.

2. Virtual network – this system comprises networked gateways while the rest of the locks are offline. This system is an excellent solution for customers dealing with contractors or agencies working within their organisation. It’s a common problem when handing a credential to non-permanent staff, as the likelihood of ever getting the credential returned can be very small. This system can be set up in such a way that the credential can have an expiry date, so access is limited to a specific time period.

3. Fully networked – this system is an excellent solution if full and fast control of the locking system is required. Every lock in the system is wirelessly connected to our router nodes which communicate with the locking plan software via a TCP/IP network and allow the software administrator to program access rights changes, download audit trails and remotely open any lock over the network.

The flexibility doesn’t end there. Every system mentioned above does not have to work independently from each other. It's very simple to have a mix of all three if that’s what you need.

If you want a fully networked system but don’t have the budget, you can install offline locks only networking the most important lock i.e. the main entrance or company records store. These locks will have the most access rights changes and require regular audit trail downloads. At a later stage, when a budget becomes available, it's very easy to increase the number of networked locks without having to change the hardware.
